Privacy Policy

Last updated: October 22, 2025

We're pretty straightforward about how we handle your info. No hidden agendas here.

Look, we get it - privacy policies can be a slog. We've worked hard to keep ours readable and honest. At EmberStorm Architecture, we only collect what we actually need to work with you and deliver great architectural services. That's it.

What We Collect

When you reach out or work with us, here's what we might need:

  • • Your name and contact details (email, phone number)
  • • Project location and property information
  • • Budget ranges and timeline expectations
  • • Any preferences or requirements you share with us
  • • Communication history between us
  • • Payment and billing info (processed securely, obviously)

How We Use Your Info

We're not in the business of selling data or spamming folks. Here's the real deal on what we do:

  • • Respond to your inquiries and consultation requests
  • • Develop and deliver architectural services you've hired us for
  • • Send project updates, design drafts, and relevant documents
  • • Process payments and maintain financial records
  • • Improve our services based on feedback
  • • Occasionally share studio news or portfolio updates (you can opt out anytime)
  • • Comply with legal requirements and professional standards

Website & Cookies

Our website uses basic analytics to understand how people find and use our site. Nothing creepy - just standard stuff like page views and visit duration.

  • • Essential cookies to keep the site functioning
  • • Analytics cookies to see what content works
  • • No third-party advertising cookies
  • • You can disable cookies in your browser settings

Who We Share With

We don't sell or rent your information. Period. But sometimes we need to share data with:

  • • Structural engineers, consultants, and contractors working on your project
  • • Municipal authorities for permits and approvals
  • • Our accountant and legal advisors (bound by confidentiality)
  • • Payment processors for transactions
  • • Cloud storage providers (with encryption)

Everyone we work with is vetted and bound by professional standards or contracts to protect your data.

Your Rights

You're in control of your data. Here's what you can do:

  • • Request a copy of the information we have about you
  • • Ask us to correct any inaccurate info
  • • Request deletion of your data (with some legal exceptions)
  • • Opt out of marketing emails anytime
  • • Withdraw consent where we're relying on it
  • • Lodge a complaint with the Privacy Commissioner of Canada

Just shoot us an email at studio@emberstormx.info if you wanna exercise any of these rights.

How We Protect Your Data

We take security seriously - it's not just about compliance, it's about respecting your trust.

  • • Encrypted data transmission and storage
  • • Secure, password-protected servers
  • • Limited access - only team members who need it
  • • Regular security audits and updates
  • • Secure document sharing platforms for project files

How Long We Keep It

We don't hoard data forever. Here's our approach:

  • • Active project data: Throughout the project and for 7 years after completion (that's the professional requirement in Ontario)
  • • Inquiry data: Up to 2 years if you don't become a client
  • • Marketing data: Until you unsubscribe or ask us to delete it
  • • Financial records: 7 years (tax requirements)

After these periods, we securely delete or anonymize your info.

Children's Privacy

Our services aren't directed at anyone under 18. We don't knowingly collect info from kids. If you're a parent and think we might have data about your child, please reach out and we'll delete it immediately.

International Clients

We're based in Toronto, Canada, but we've worked with clients from different countries. Your data is stored on Canadian servers and protected under Canadian privacy laws (which are pretty solid, by the way). If you're outside Canada, be aware your info will be processed here.

Policy Updates

We might update this policy occasionally as our practice evolves or laws change. When we do, we'll update the date at the top and notify active clients via email if the changes are significant. It's worth checking back here now and then.
